Ember Coffee Roasters: from shoebox receipts to monthly reports

A roastery with two cafés was three years behind on its books and owed back payroll taxes. We caught everything up and won penalty relief.

The situation

Chris is a great roaster and an honest owner who fell behind. Receipts lived in a box, two payroll tax deposits had been missed and the IRS had started sending letters.

Ember roasts about 900 pounds of coffee a week for two cafés and 30 wholesale accounts.

What we did

We worked through it in order: stop the letters, fix the past, keep it clean.

  • Rebuilt three years of books from bank statements, receipts and card exports.
  • Filed the missing payroll returns and requested first-time penalty abatement.
  • Set up a payment plan for the balance that fit the business’s cash flow.
  • Moved Ember onto monthly bookkeeping with reports by café and for wholesale.

The results

The IRS removed $9,800 in penalties. Ember is current on every filing, and Chris learned that wholesale, not the cafés, earns most of his profit. He’s now adding accounts.

“I was embarrassed to call anyone. Quantro never made me feel bad about it. They just fixed it, step by step.”
